Accounts Receivable Specialist – Job Description
We are seeking a detail-oriented and proactive Accounts Receivable Specialist to join our finance team. This position is responsible for managing the company’s receivables, ensuring timely and accurate processing of payments, and maintaining strong relationships with customers. The ideal candidate will also support special projects as needed, demonstrating initiative and a strong sense of ownership. A team-oriented mindset and excellent follow-through are essential for success in this role.Key Responsibilities
- Manage the accounts receivable process, including invoicing and payment posting
- Deposit, process and reconcile received credit card, check, ACH and wire payments
- Process refunds when necessary
- Review customer orders on hold and apply deposits needed for release
- Resolve billing discrepancies and respond to customer inquiries professionally and promptly
- Reconcile customer accounts and assist with month-end close procedures
- Collaborate with internal teams (e.g., sales, customer service, accounting) to resolve issues
- Maintain accurate records and documentation for all receivable transactions
- Maintain and distribute several recurring accounting reports
- Handle physical mail
- Support ad hoc and special projects, including process improvements, data analysis, and reporting initiatives
- Identify opportunities to improve receivables processes and proactively implement solutions
- Ensure compliance with company policies and internal controls

Qualifications
- 2+ years of experience in accounts receivable or general accounting
- High attention to detail and accuracy
- Strong organizational and follow-through skills
- Demonstrated ability to work independently and take initiative
- Excellent communication and interpersonal skills; able to work effectively in a team environment
- Proficiency in Microsoft Excel and accounting software
- Ability to manage multiple priorities and meet deadlines
- Experience with ERP systems or large-scale accounting platforms (Great Plains is a plus)
- Exposure to project-based work or process improvement initiatives
- Associate or bachelor’s degree in accounting, Finance, or related field
